Overview

In the Viewing Module, index fields are used for retrieval of scan sets. A scan set contains the documents that were scanned into vMedia as a group. The values that were assigned when the scan set was created are the values used to retrieve that scan set.

vMedia

  1. Double click the vMedia icon if vMedia is not already open.
  2. Select [View] from the Master Control window.

  1. Select your desired database from the vMedia Database list.

  • Data Entry Screen is used to enter the values into an index field or fields for the scan set you are trying to locate.

    • To move between fields, press [Tab] or click the mouse.

    • The index fields that appear in the Data Entry screen relate to the selected vMedia database.

    • Different databases will have different index fields.

  • [Reports] - Opens the Activity Reports dialog box to obtain system activity reports.

NOTE: Searches in non-SQL backend databases are case sensitive; however, searches in SQL backend databases are not case sensitive.

  • [Search] - Initiates a standard left-to-right alphabetical search on non-blank index fields for an exact match of the data, starting with the left-most character and concluding with the last character entered as part of the search. This is done independently on a field-by-field basis. The search is limited to only those fields which are not blank.

  • [Extended] - Initiates a search that finds all records that match data in all non-blank index fields, regardless of the ordinal position of the search data within a particular field. in other words, the Extended Database Search function works similarly to the standard database search, except that the data entered in a field can match the index field anywhere within the field to be considered valid.

  • Chevrons - All index fields participate in searching in the Viewing Module regardless of marking. In the Configuration Module, under Field Optionsfor the field in question, the Fast Find Feature (off, on, on & searchable) controls whether a field is regular, single chevron, or double chevron.

    • Index fields that have a single chevron > participate in searching and are indexed for faster performance.
    • Index fields that have a double chevron >> participate in searching, are indexed for faster performance, and:
      • (a) Are searchable using the search sub-function in the scanning module.
      • (b) In combination with all other fields so marked, determine document uniqueness. Only one unique document can be filed in the system where the marked index fields share the exact same values. Attempts to file a second document will result in a conflict warning and resolution dialog being presented to the user.
    • If no fields are marked with a double chevron, then document uniqueness enforcement is disabled for the database and multiple distinct documents can be filed under the same criteria.
    • Even when document uniqueness is being enforced, the fully-automated rules system may be set to allow the restrictions to be ignored for certain types of operations. For example, when using in-line docsplit, the assumption is that the indexing information is incomplete and all documents are saved separately with identical indexing information.
  1. Enter your desired search criteria into one or more of the index fields.

  2. Click either [Search] or [Extended], based upon the values entered in the Data Entry dialog box to activate the search.

If you set your database up with tabs (see: Tab Name Editor) then you will have a tabbed view with whatever names you chose for the tabs.
