Barcoded Forms Introduction

02/28/2017 - vMedia's barcode features have been enhanced to handle barcodes from multiple firms in a robust way. This applies to scanning and Print To vMedia ("PTV"), as well as barcode documentation.

vMedia can recognize indexing information contained in special symbols called barcodes. While the Scanning Module will recognize barcodes created from a wide variety of sources, it is often difficult to create barcodes within merge forms. vMedia contains specialized software to automatically create 1D (3of9) and 2D (DataMatrix) barcodes within a merge.

The topics in this barcode section explain the system requirements for using the vMedia barcode creation feature, how to install the software, and how to format the merge documents to have barcodes automatically generated for use with vMedia. vMedia uses barcodes to determine the filing criteria for a document. In addition, barcodes can be used to indicate when one document ends and the next document begins when scanning groups of documents in bulk.

Using Barcodes to Specify Data Entry Fields

When barcodes are used to specify data entry fields, vMedia assigns a reference ID number to each barcode appearing on each page of the document. vMedia assigns a second reference ID number to each barcode which is cumulative across all pages for the document.

For example, if there are two barcodes on page one and one barcode on page two, the first barcode ID would be numbered 1 on page one and also 1 in a batch (document).

The barcode appearing on page two would have an ID of 1 on page two and also three in a batch (document). In universal recognition mode, which works equally well for all barcode types, each physical barcode can contain the filing information for one index field. Create a separate barcode on the document for each index field. Use the vMedia Database Configuration Module to specify the barcode ID for each field that will be automatically filled in by the barcode recognition system.

Multiple Firm IDs in Barcodes

vMedia's barcode features have been enhanced to handle barcodes from multiple firms in a robust way. This is helpful when users receive documents that already include barcodes from another firm. vMedia now provides ways to configure how these documents are processed when scanning and how PTV processes them. This feature works when scanning documents with barcodes as well as when printing to vMedia (PTV).

NOTE: There is a long standing limitation in the 2D DataMatrix engine in WordPerfect (actually a limitation in the WP Merge) whereby Merge variables are limited in length to 127 characters. To overcome this limitation, which affects the ASSIGN merge command, an alternate strategy for creating the 2D barcode was developed in version 7.7 that avoids the WP Merge variable.
